Privacy policy
Artis Laminates Private Limited operates Artis Sales, our field-sales application. This policy explains what information the app handles, why it is used, who can access it and how to contact us about your data.
Who can use the app
The app is for authorised Artis team members and business users. An Artis administrator creates and assigns app access; downloading the app does not create an authorised account. Users sign in with their registered phone number and an SMS verification code. There is no public self-registration flow.
Google receives and stores the phone number supplied for SMS sign-in. Google uses it to improve protection against spam and abuse throughout its services, including Firebase.
Information we collect
- Your app account: name, phone number, account identifier, role, territory, reporting relationships and assigned distributor. An email address and profile photo may be provided. These details identify your account and determine the work and features available to you.
- Attendance: check-in and check-out times, submitted location coordinates and accuracy information, check-in photos, and leave requests. We use these records to verify and review attendance.
- Accounts and visits: business and contact names, phone numbers, written addresses, account type, and optional details such as email, contact person, date of birth, business-card photo and an on-site location. Visit records can include the account visited, date, purpose, notes, designs discussed, location evidence, photos and follow-up details. Provide only information appropriate for Artis business purposes.
- Sheets and expenses: reported sheet quantities and catalogues, dates and related account/distributor details; expense amounts, categories, descriptions, receipt images and approval information.
- Saved notes: text, titles, photos and any account or design links you add. Saved notes sync to your Artis account when connectivity and the service are available. Unsaved drafts are stored on the phone.
- Support requests: your submitted category and message, optional screenshots, request status and admin replies. Platform, operating-system version and app version/build details are included to help investigate the request.
- Inbox messages and documents: messages and app-update notices from Artis administrators, support replies, follow-up and birthday reminders; message titles and text, sender and recipient account identifiers, timestamps, read status and notification-delivery records. Documents or images attached by an administrator are uploaded to Artis services, together with the file name, type, size and uploader details. Selecting an Inbox attachment uploads it before the message is sent.
- Inbox notification registration: an app-installation identifier, push-notification token when available, your app account identifier, platform, app identifier, version/build and whether notifications are enabled. We use this information to route alerts, manage their account association and show relevant app-update notices. Installation, version and permission information is sent even when alerts are disabled; a previously issued token may remain registered with alerts disabled.
- Usage and diagnostics: screen views and events such as login and submitted work; app and device information, installation identifiers, crash reports and error logs. Firebase Analytics and Crashlytics can associate usage or diagnostic information with your app account identifier, role and territory. We use this information to understand usage and resolve reliability problems.
Location, camera and photo access
The app requests foreground location permission for attendance and visit evidence. Opening a new visit form can obtain a recent or current location for that visit. In Add account, you can capture and confirm an on-site GPS location. The app does not continuously track your movement in the background.
Camera and selected-photo access support check-in photos, visit evidence, receipts, profile pictures, notes, business cards and support screenshots. Photos you select for upload may be transmitted before the surrounding form is saved. You can manage permissions in Android settings; some evidence-based workflows may not work without the relevant permission.
Inbox and notification choices
Artis uses Inbox and push notifications for work messages, follow-up and birthday reminders, support replies and information about app updates. Saved contact dates of birth are used to show upcoming birthdays in the responsible rep's Inbox and provide reminders the day before and on the birthday. Phone alerts are optional. You can request them from Home or Inbox and manage notification permission in Android settings. Inbox remains available when notification permission is denied; receiving new content still requires a connection.
Inbox push alerts use general lock-screen text. Birthday alerts do not include the contact's name, birthday or business details in that text. The notification service also receives the account and message identifiers needed to route an alert; the message details and attachments are accessed through the signed-in app. Opening an Inbox item records its read status, which may sync later if you are offline. We also record Inbox opens and actions, such as opening an attachment, for usage analysis.
How we use and access information
We use this information to run field-sales operations, maintain account and visit history, organise follow-ups, review attendance and expenses, report sheet activity, support users, manage authorised access and improve app reliability.
Authorised managers and administrators can access work records as permitted by their role and team responsibilities. Business-account records may be available to other authorised team members for work. My Notes is associated with its owner's app account; it is not a public feed. Support requests go to the admin support list.
Administrators choose authorised recipients for Inbox messages and attached files. Follow-up, birthday and support items are associated with the relevant user's account. These Inbox items are not a public feed.
We use Google Firebase for services including authentication, database storage, photo and document storage, notification delivery through Firebase Cloud Messaging, analytics and crash reporting. Expo provides app-development services and device capabilities used by the app. Service providers process data according to the services we use and their terms. We do not promise that all processing occurs in one country. See Firebase privacy information and Expo's privacy policy.
Sharing that you choose
When you choose to share a note, image, daily summary, catalogue or file, its content is passed to the app you select, such as WhatsApp. You choose the recipients in that app. A shared work summary may identify you and the businesses you visited. Check the content before sending; the receiving app and recipients handle their copies under their own practices.
Call, WhatsApp and directions actions open the relevant app with the selected business phone number or location. We do not automatically send a WhatsApp message on your behalf.
Offline data and personal files
Downloaded catalogues, design images, saved drafts, cached Inbox messages and downloaded attachments, pending message sends and other cached work can remain on your phone. Submitted work, saved notes and Inbox read status may wait locally and sync when a connection is available. Signing out does not automatically erase all saved or unsent work.
Files you add to your personal Library are copied into the app's storage on that phone. This personal-file feature does not automatically upload them to Artis. Opening a file in another app or sharing it gives that app access to the selected file. Personal files are different from shared team documents and administrator-uploaded Inbox attachments, which are stored by Artis and made available to their recipients.
Retention and requests to delete data
We retain account and business records for operational needs and applicable record-keeping obligations. The reason for retaining a record depends on its type and the work it documents. We do not treat signing out, uninstalling the app or removing a record from a screen as deletion of all server records or backups.
You can request access, correction, account closure or deletion of your personal data. We may need to verify that you are the account holder and clarify which records your request covers. Some business records may need to be retained; we will explain relevant retained categories and reasons when handling your request. See Request account or data deletion for the steps and contact details.
Security and your choices
We use authenticated accounts and access controls for app services. Keep your phone and SMS verification codes secure and report unexpected access to Artis. No service can guarantee complete security.
You can edit supported profile details in Profile, manage device permissions in Android settings, and use Profile → Support to report a problem. Do not include passwords, verification codes or unrelated sensitive personal information in notes, support messages or screenshots.
Changes to this policy
We may update this policy when the app or our data practices change. The updated policy will be available at this address with a revised date. Contact us if you need clarification about how a change affects your information.
